AI Bill Watch (“we,” “us,” or “our”) is committed to protecting the privacy of healthcare organizations and professionals who use our legislative tracking platform. This Policy explains how we collect, use, and protect your information.

1. Information We Collect

Account Information: When you create an account via our authentication provider (Clerk), we collect your name, email address, and any profile information you provide. This is required to access the platform.

Usage Data: We collect anonymous session data to power aggregate industry compliance trends shown in the platform. This data is never linked to your identity.

We do not collect:

Protected Health Information (PHI) as defined under HIPAA
Financial or payment card data (handled entirely by Stripe)
IP addresses or device fingerprints beyond standard server logs

2. How We Use Your Information

Account access: Your email and name are used to authenticate you and personalize your experience
Communications: We send transactional emails (welcome, billing, account notices) to your email address
Aggregate trends: Anonymous compliance gap responses are aggregated (minimum 5 responses) to show industry-wide patterns; individual responses are never displayed
Service improvement: Error and performance data (via Sentry) helps us diagnose and fix issues
We do not sell, rent, or share your personal information with third parties for marketing purposes

3. Healthcare Industry Alignment

As a platform serving healthcare AI developers and buyers, we design our data practices to align with the standards expected in regulated healthcare environments:

No PHI: Our platform never collects, stores, or processes Protected Health Information
Not a Covered Entity: AI Bill Watch is not a covered entity or business associate under HIPAA
Minimal Data: We collect only what is necessary to provide the Service and communicate with you
No Re-identification: Aggregate compliance trend data cannot be traced back to any individual or organization

4. Third-Party Services

We use the following third-party services, each governed by their own privacy policies:

Clerk — Authentication and identity management
Stripe — Payment processing (we never see or store card data)
OpenAI — AI-powered compliance plan generation (your product category selections, not personal data, are sent)
SendGrid — Transactional email delivery
Sentry — Error monitoring and performance tracking

5. Data Retention

Account information is retained for the duration of your account and for up to 90 days following deletion, after which it is purged from active systems. Anonymous aggregate compliance data is retained indefinitely to maintain accurate industry trends.

6. Your Rights

Access & Correction: You may review or update your account information at any time within the platform
Deletion: You may request deletion of your account and associated personal data by contacting us at support@aibillwatch.com
Opt-Out of Aggregate Trends: Simply do not use the compliance checklist features if you prefer not to contribute to aggregate data
Transparency: This Policy fully discloses all data collection practices

7. Security

All data is stored in encrypted databases. Authentication is handled by Clerk, which employs industry-standard security controls. Our infrastructure is hosted on secure cloud platforms. We apply the principle of least privilege across all system access.

8. Cookies

We use session cookies to maintain your authenticated state. We do not use advertising or tracking cookies. Our analytics, if any, are privacy-preserving and cookieless.

9. Changes to This Policy

We may update this Policy periodically. Material changes will be communicated by updating the effective date above and, for significant changes, by email notice to your registered address.

10. Governing Law

This Policy is governed by the laws of the State of Arizona, consistent with our Terms of Service.
